There are two simple ways of exporting either a full list of records (Export All Records), or exporting a set of records (either from a view or from a search result - Export Displayed Records).

But perhaps you want to export a set of records that are not based on criteria you can filter on by regular means, for example a group of contacts you have a personal interest in.  Here's how you can acheive this quickly and easily.

Step One

Add a custom field of the checkbox type to the relevant module, and name this appropriately, for example :

Step Two

Update this field on the records you wish to export. This is easily done by viewing records in the selected module, ticking the records you wish to export and below the records grid you can select the field to update - select "Export This Record" and enter the value "1".

Step Three

Create a view to show all the records you want to Export. This FAQ explains how to create a view: http://opencrm.co.uk/crm-knowledgebase/kb625872/How-can-new-views-be-created.html

When creating the view you need to apply a filter to show you all records with this checkbox ticked:

Step Four

You are now able to view a list of the records you wish to export and by using the Export Displayed Records function this will export the records required.

Step Five

Footnote:

To untick the records and remove them from this view you can tick them individually or use the  "select all" checkbox, and then once again globally update the Export This Record field, removing the "1" from the field.
