How do I update a field on multiple records (Global Update) in one go?

The first step is to create a VIEW that displays all of the records that you wish to update (you may find this FAQ useful in creating this VIEW - How Can I create  a Custom View)

Adding the new value to a field on multiple records can be achieved by using the Global Update option. This is located at the foot of the main module;

 

 

You can select the field that you wish to update by clicking on the drop down selector - This list shows all of the available fields that can be updated using this method.

You add the value that you wish to update your fields with in the NEW VALUE box.

Select GO - this will prompt you with a warning about how many records are going to be updated and also that these cannot be undone should you carry this out in error.

 

 

Once you confirm the OK button your records will be updated with the data that you have supplied.

Tips and Tricks on Globally Updating Records

1. When updating the ASSIGNED TO fields, this requires the USER ID not the name  (This FAQ may help you find your USER ID's)

2. If the field you are updating is a Check Box the values that you will need to be aware of are - 0 = Unticked and 1 = Ticked

3. Remember to get the values to be exactly the same, especially if you are entering a value such as an item in a Picklist

WARNING : THIS OPTION OVERWRITES THE CURRENT DATA - IT DOES NOT APPEND TO THE EXISTING DATA.
