Product Management

You may have the best products in the world, but without a way to manage your sales and fulfilment processes, no one will ever see them. OpenCRM includes a fully featured Product Database that allows you to easily manage product details in a central location, giving your users the tools they need to be able to deliver.

If Inventory and Stock Management is vital to your business, you know how much time can be taken up just making sure you have the stock to fulfill your Orders. Automate part or all of your Inventory and Stock Management with OpenCRM, you decide how to spend your time.


Visualise your products easily

You can customise your product records using as many custom fields as you need alongside the structured information that is available by default. Filter Products by any of the information that you hold, buy price, sell price, commission rate, category, manufacturer or supplier, plus dozens of other criteria, including your custom fields.

The information important to you

For each product you can specify the start and end date, the tax class and currency prices, and price check dates to keep your pricing up to date. You can also track units of measure alongside product descriptions and images, as well as attach any necessary documentation. You can also specify if this documentation should be included in quotation and sales communciations.

Build mini descriptions from category specific fields to streamline the search process for sales and fulfilment teams. Use the mini description field when exporting Products to eCommerce engines or your eBay store.

Who's buying what

Track Products on the company record to see what has been sold or quoted with the most recent quoted/sold price displayed and easily include any of these Products again in another quote or sales order.

View the history of a Product seeing Quotes, Sales Orders, Invoices, Purchase Orders and links to many other entities within OpenCRM.

Keep your promises

Create Pricebooks to hold unique pricing. Assign these Pricebooks to a customer to maintain contract prices. You can even specify when prices change at the Product level whether Pricebooks should be updated at the same time.

Prevent Products from being sold under the buy price, create Product titles based on your rules, automatically create product codes, force selection of a Product category when creating a new Product, and set the low quantity values showing Products as requiring fulfilment.

Integrate with your orders

Let OpenCRM tell you when a Sales Order is ready for despatch. List all Products that need to be fulfilled and add these to Purchase Orders to top up your Stock levels.

View all Purchase Orders due to ensure that you can get a list of items for your Goods Inwards team. After Stock Items are 'booked in' they will be automatically allocated to outstanding Sales Orders and a notification will be sent to the Sales Order administrator or account manager. When the Sales Order is ready for despatch, trigger the despatch process and create a picking note/despatch sheet.

Manage your stock levels

Integrate Stock Level management with your eCommerce engine or external stock management system.

If a Sales Order is cancelled the Stock Items are automatically marked as being available for fulfilment or allocated to other Sales Orders awaiting goods in.

Stock Items can hold specific information, including serial numbers, warehouse location, model and revisions, as well as any other information that is important to you.

You decide what's best

OpenCRM offers you three different levels of stock control; Simple, Intermediate, and Advanced. All you decide is which suits the way that you work best.

      • Simple: You manage your stock and let OpenCRM tell you when the stock numbers on a Product are falling low.
      • Intermediate: Manually book stock in and manage the quantities, OpenCRM will send warning emails when unavailable stock is included on a Quote, Sales Order, or Invoice.
      • Advanced: OpenCRM will automatically create Stock Items when Sales Orders are created and have these Stock Items tracked to see if you have Unallocated, Allocated, Not In Stock, Ordered, Ordered Allocated, or Cancelled stock. The system also includes processes to manage Purchase Orders and dispatch, including statuses for Shipped and Returned.
